Bespoke Terms & Conditions
We’re excited to craft a personalized experience tailored just for you! To ensure a smooth booking process, we’ve outlined the key payment terms for your bespoke trip. Please review them carefully, along with our company’s complete booking terms here so you understand the necessary steps to secure your journey.
Payment Terms
Curation Fee
A non-refundable $175 curation fee is required to initiate the bespoke journey process. This fee covers the research, planning, and development of a customized itinerary tailored to your preferences. If your booking is confirmed, the curation fee will be applied toward the final balance of the trip. If you are booking as part of a group, the fee will be credited to the group leader’s final balance. This fee is separate from the deposit and is non-refundable, as it covers the initial trip planning phase.
Deposits
Once your bespoke itinerary is accepted, a non-refundable, 25% deposit of the total trip cost per person is required within 30 days to secure the accommodations, activities, and other essential components of your trip. This deposit ensures that the necessary bookings are made and that your travel arrangements are confirmed.
Remaining Balance
After the deposit, the remaining balance can be paid in full or in monthly installments, with the final balance due 60 days before your scheduled departure date. The total remaining balance will be divided into equal monthly payments, with deadlines clearly indicated on your invoice.
Late Payments
A $50 late fee will be applied if payments are not received within 5 days of the due date. If payment is not received within 30 days, the trip for that individual (if part of a group) will be canceled, and the individual will no longer be able to participate in the booked trip. For group bookings, if one individual does not make timely payments, their cancellation will not affect the remaining group’s trip.

Payments are accepted via credit/debit cards only, including Visa, MasterCard, Discover, and American Express.
Refund Policy for Bespoke Journeys
At LuxNomad Travels, we understand that plans can change, and we’re here to ensure that your journey is as seamless as possible. However, please note the following regarding cancellations and refunds:

No Shows & Illnesses
- No Shows: No refunds will be issued for no-shows.
- Illness or Medical Emergencies: We do not offer refunds due to illness or medical emergencies. We strongly recommend purchasing travel insurance with a “cancel for any reason” policy, which will allow you to work directly with the insurance company to recoup your costs in the event of unforeseen circumstances.
Travel Insurance
Travel insurance is highly recommended to protect your investment. Please ensure you have coverage that suits your needs, including the option to cancel for any reason. We can suggest reputable insurance providers if needed.
Changes to Itinerary
Once you approve the draft itinerary, we begin finalizing the details to ensure everything is in place for your bespoke journey. Please note: that the final cost may vary based on availability of accommodations, activities, and vendor rates at the time of booking. While we strive to provide the most accurate estimates, some elements of your trip could incur additional costs due to changes in availability or the vendors we work with. We will always inform you of any changes as soon as possible and ensure you approve any updated costs before proceeding with final confirmations. These adjustments will be reflected in your invoices.
Booking and Travel Arrangements
LuxNomad Travels will handle all trip bookings, except for flights. Flights are the responsibility of the traveler, although we are happy to assist in booking flights or helping with the best routes and prices.
We highly recommend purchasing travel insurance to protect your trip in case of unexpected changes.
Special Requests
Guest Responsibility
You are responsible for understanding the conditions stated in your bespoke itinerary and ensuring that your selections and preparations are in alignment with your interests and abilities. It is important to carefully review the trip details provided by LuxNomad Travels.
While LuxNomad Travels will handle the trip arrangements, you must ensure that you are prepared for the experience, including understanding any activity or experience requirements.
Behavior and Conduct
You must comply with all applicable laws and regulations of the countries and regions you visit. Additionally, you are expected to follow all safety guidelines provided by LuxNomad Travels and any independent contractors involved in your trip.
If your behavior results in you being removed or excluded from any activity, accommodation, vendor, or service during your trip, LuxNomad Travels will not be responsible for any resulting costs, losses, or disruptions. You understand and agree that LuxNomad Travels is not liable for any refund or compensation in such cases. Any disruption to your trip caused by non-compliance with local laws, or inappropriate or disruptive behavior may result in you being removed from the experience without refund.
No refunds, reimbursements, or discounts will be provided for any missed services or experiences due to your actions, behavior, or any personal circumstances during the trip.
Travel Documentation and Responsibility
It is your responsibility to ensure that you obtain all the necessary documentation and identification required for entry, departure, and travel to each country or region included in your bespoke itinerary. This includes a valid passport, any required visas, permits, medical or vaccination certificates, and travel insurance policies.
Your passport must be valid for at least 6 months after your scheduled return date. You are fully responsible for securing all the necessary documents, visas, and permits ahead of your trip.
If you fail to provide the required documentation, or if any of your documents are missing, expired, or incorrect, you will be responsible for any associated costs or delays. Any financial loss or inconvenience caused by improper or incomplete documentation will be at your own expense.
LuxNomad Travels is not liable for any errors or omissions in the documentation you provide. You understand and accept full responsibility for ensuring that your travel documentation is complete and accurate for the duration of your journey.
Liability and Release of Liability
By booking with LuxNomad Travels (LNT), you acknowledge and accept the inherent risks associated with travel and the activities provided as part of your bespoke journey. The full LNT liability waiver and indemnity terms will apply to your booking, and we recommend reviewing the entire document to fully understand your rights and responsibilities.
As a general overview, LNT is not responsible for any injury, loss, damage, or delays related to external events beyond our control, including but not limited to: acts of nature, civil unrest, strikes, mechanical failures, accidents, and other unforeseen events. You voluntarily accept these risks and agree to release LNT from any claims or liabilities that may arise during your trip.
Third-Party Liability
While we carefully select our third-party suppliers, LNT cannot control their actions or guarantee their services. LNT is not liable for any issues caused by third-party suppliers and their respective terms and conditions will apply to all such services.
Binding Arbitration
If a dispute arises from your journey, and informal negotiations cannot resolve the issue, it will be settled by binding arbitration. Arbitration will be conducted in Indiana, and all associated fees and costs will be borne by the parties involved, with the prevailing party entitled to recover all expenses. Please note, any disputes will be arbitrated individually, and not as a class action.
We encourage you to review the full terms of the liability waiver and arbitration agreement to ensure clarity on the details of your rights and responsibilities.
Final Confirmation
Once your bespoke itinerary has been finalized, we will send you a confirmation. To secure your trip, the remaining balance is required. Without final confirmation and full payment, no bookings or reservations will be made.
Individual Registration and Agreement
Before finalizing the booking, each individual traveler must complete the registration form and agree to the terms and conditions. This email will be sent to all parties involved, and each person must acknowledge and confirm their participation before we proceed with bookings.
Please review the final details of your itinerary, and once everything is confirmed, proceed with the payment to lock in your accommodations, activities, and travel arrangements.
